What is a multi-agent workflow? A plain-language guide

A multi-agent workflow lets several specialist AI agents work toward one outcome. What it is, when one agent is enough, and how to keep it reviewable.

A multi-agent workflow is a process in which more than one AI agent takes part, each with its own role, tools and instructions, working toward a single outcome. Instead of one agent that tries to do everything, you have a small team of specialists and a clear way for them to hand work to each other.

An example

A customer emails to dispute a charge. One agent reads the email and works out what is being asked. A second looks up the order and payment history. A third drafts the reply following your refund policy. A person approves anything over a set amount. The result is one reviewable outcome, produced by steps that each have a narrow job.

Why split the work between agents

  • Focus. A narrow instruction and a short list of tools are easier to get right than one agent that must know everything.
  • Limits. Each agent gets only the access its job needs, so a mistake has a smaller blast radius.
  • Reviewability. When the work is split into named steps, you can see which one went wrong.
  • Reuse. The same specialist, such as the one that checks an order, can serve several workflows.

When one agent is enough

Do not add agents for the sake of it. If the task is short, the tools are few and the rules fit on a page, a single agent is simpler, cheaper and easier to test. Move to several when one agent's instructions have grown long, when different steps need very different permissions, or when you want a checkpoint between stages.

What makes a multi-agent workflow trustworthy

  1. A clear outcome for the whole workflow, and a clear job for each agent.
  2. Explicit handoffs between agents, with what each passes on written down.
  3. Least-privilege access for each agent.
  4. Human approval where the stakes are high. See human handoff for AI agents.
  5. Tests that cover the whole chain, not only each agent alone. See how to test an AI agent before launch.
  6. A record of every run, showing which agent did what.

Multi-agent workflows in Zoft

Zoft's multi-agent workflow coordinates specialist agents around one reviewable outcome, on the same canvas as the rest of your workflow automation. You can describe the outcome to Zoft Copilot, which builds the agents, tools and wiring, then review and edit every part. Spaces let you operate teams, agents and workflows as one company domain, and shared evals and controls apply throughout.

Frequently asked questions

What is a multi-agent workflow?
A multi-agent workflow is a process where several AI agents, each with its own role, tools and instructions, work together toward one outcome, handing work to each other in defined steps.
When should I use multiple agents instead of one?
When one agent's instructions have grown long, when different steps need very different permissions, or when you want a checkpoint between stages. For short, simple tasks one agent is easier to build and test.
How do I keep a multi-agent workflow under control?
Give each agent a narrow job and least-privilege access, define the handoffs, require human approval where stakes are high, test the whole chain and keep a record of every run.
